What belongs in an Etsy seller tax spreadsheet

A useful Etsy bookkeeping spreadsheet is not a pretty budget tracker. It should turn platform CSV exports into Schedule C lines you can defend.

Buyer-intent checklist (what to demand from any workbook)

  1. CSV import tabs for Etsy monthly statements / sold orders (and Shopify Payments if you sell there).
  2. Fee and refund mapping — listing fees, transaction fees, processing fees, ads, shipping labels, refunds.
  3. Schedule C line summary — gross receipts, returns, COGS (if you track inventory), and expense categories that match IRS Schedule C vocabulary.
  4. 1099-K reconciliation — a worksheet that explains why platform gross ≠ profit.
  5. Mileage log with the correct IRS cents-per-mile rates for the year.
  6. Sample file + instructions so you are not reverse-engineering formulas in April.

Why “bank downloads only” is not enough

Bank deposits miss fee detail, combine personal and business transfers, and will not match Form 1099-K gross volume. Platform exports plus a reconciliation sheet prevent the classic spring surprise: the IRS has a big number and your profit feels smaller.

2026 mileage rates to bake into the log

  • Jan 1–Jun 30, 2026: 72.5¢ per business mile
  • Jul 1–Dec 31, 2026: 76¢ per business mile

Questions, answered

What should an Etsy tax spreadsheet import?

At minimum: Etsy monthly statement or sold-orders CSV fields for sales, fees, refunds, advertising, and shipping labels, plus a place to reconcile Form 1099-K totals to your books.

Excel or Google Sheets?

Either works for most sellers if formulas are real (not macros). Prefer tools that read columns by header name so Etsy column reordering does not break imports.
